Kissflow: Overview, Features, Benefits & Pricing

Kissflow

Business process management and workflow management software make life simpler. But while they are meant to handle the chaos around the business and bring automation to the work, the BPM software is generally complex and hard to understand. Kissflow, however, has reformed the rules of this software.

Kissflow is a low-code application development platform that brings business users and IT closer to simplifying work management and dramatically accelerating digital transformation. It is the only low-code platform built for multiple personas and has the right blend of simple and powerful features.

Process owners build no-code workflows. Programmers create applications with low-code tools. Also, IT governs the entire platform.

What is Kissflow?

Kissflow helps initiate process requests, view items that require user actions, and approve pending tasks. It supports human resources (HR) process management including employee onboarding, timesheet management, vacation request approvals, and invoice approval workflow.

It is also suitable for businesses of all sizes and industries.

The product offers purchase order management, payment-process approvals, and purchase-requisition workflow processes. Kissflow integrates with Google Apps and other cloud-based applications such as WebHooks and Zapier End Point using integration APIs. The tool allows users to track process performance, monitor KPIs, and generate reports using its analytics features.

Kissflow’s Leading Features

The Kissflow BPM is designed to do something outstanding. This software offers identical features as high-level BPM software while being a simple and cost-effective solution that everyone can utilize and afford.

Administrative Features

It is worth having in-house support to fix simple issues when processes go erroneous. Users might be stuck with either expensive consultants or waiting a long time for support to get their tickets fixed. Kissflow offers some controls to the Admin and this admin console can enable the first line of defense to be at your hand instead of requesting for support.

By giving power to the admins, the tool allows them to have the accountability of processes and ensure task continuity and data security.

Some examples of admin superpowers in the Kissflow BPM software are as follows:

  • Manage user access requests
  • Billing & adding additional licenses
  • Restrict & grant access to processes
  • Delete the process
  • Append the process temporarily

Drag and Drop Form Designer

This BPM feature allows building online forms without writing any codes. The drag-and-drop technology ensures flexibility using the user-friendly point & click. As a result, users can build a form, customize its design, create integration, and go live in no time at all without waiting for a developer.

Kissflow includes 16 plus types of fields to generate an ideal form. It allows usage of pre-populated fields, insert tables, and group-related data into the section as well. Users can also apply logic to create a form.

The screen below shows the action of dropping the drop-down menu to design the form:

Kissflow

Security

As Kissflow is developed with the Google Cloud environment, it includes Google’s premium-grade reliability and security. The entire data that goes through this tool is encrypted using SSL over HTTPS. The data is stored in the excellent data center offered by Google.

For enhanced backup and recovery support, the data is stored in multiple geographies thereby it ensures the prevention of data loss.

Real-Time Notification

With its customizable, automated notification, Kissflow alerts participants about new tasks. It also reminds them about upcoming approvals and processes.

Business Process Automation with Kissflow

Kissflow engages cloud-based business process automation to automate repetitive rule-based processes with ease, flexibility, and accuracy. This uncomplicated BPM automation software eliminates manual tasks and enhances visibility as well as tracking for processes.

This BPA tool allows users to house all automated processes on a single platform.

Business Process Mapping

Business process mapping is a technique inside the Kissflow tool to visually represent steps and depict how a process should perform from beginning to end. This technique lays out the business processes visually, thereby allowing each stakeholder to understand and adhere to the exact functioning.

Process mapping uses flowcharts, charts, and symbols to visualize the business processes.

Predefined Apps Templates

Kissflow BPM is all about rapid development and modification. This feature allows the installation of ready-made applications from the marketplace. The tool offers app templates of popular use cases and you can install & customize them instead of making your own from scratch.

With this, users can avoid redundant work and reuse when required. The following screenshot shows the ready-to-use app templates:

Kissflow

Visual Workflow Tool

The main idea of Kissflow BPM is the capability to create as well as edit workflows and processes in a way that a system can trail along. The visual workflow tool offers a consistent graphical representation to create a business process.

With this feature, users can see graphically how a process looks like instead of involving text fields and programming languages.

Single Sign-on

It is the most common feature of BPM solutions. SSO supports login with a single set of credentials across various independent software platforms. The Kissflow feature supports the IT Department to grant access permission and track activity.

Process Performance Metrics

Process performance metrics feature to spot the problems with the processes and support businesses to make valuable decisions to enhance process performance. This functionality in Kissflow captures process data and enables the administrator to detect what is sourcing the lag or problem and how it can be resolved.

Report and Analytics

The reporting feature of this BPM solution is powerful as well as customizable. With the built-in reporting features, Kissflow BPM provides ready-to-use process metrics or process stats. The pre-built reports allow users to view, analyze, and collect insights on the workflows. Moreover, the report lists the combined number of requests at each stage, for example, in-progress, completed & rejected.

As a result, users can instantly check the workflow status to observe where their blockages are forming and develop an estimated completion time. This tool allows viewing KPIs, exporting report data, configuring ad-hoc reports, as well as analyzing dynamically created data with its advanced reporting features.

Mobile Support

Business processes are increasingly getting more mobile and users have less tolerance for apps that can only be accessible on the system. Kissflow, the cloud BPM system offers whole functionality for mobile users.

In addition to the browser, Kissflow is available for iOS and Android. Within the Kissflow app, users can approve items, construct new ones, upload images to workflows, and track progress.

Role-based Access Control

Most of the workflows include sensitive data that is not supposed to be shared with everyone. The workflow management system of Kissflow allows you to customize what your team members can view and edit based on their roles.

In addition, the permission assignment in the workflow doesn’t break it or disturb historical requests.

Cross-Platform Integration

The Kissflow software comes with integration functionalities that facilitate systems to share tasks and merge data across other systems flawlessly.

The software can be fully integrated with Google Apps like Google Drive & Gmail. It also includes webhooks and open APIs to connect the business apps to other software. Furthermore, the Zapier endpoint in Kissflow enables it to connect with more than 400 cloud-based software services.

SLA Status Indicators

The Kissflow workflow management system supports running multiple core processes at any time.

Consider a scenario where you want to view all the running processes on your dashboard. In that case, there should be a control to ensure you’re current on all the tasks. This is where the SLA status indicator feature comes in. This indicator lets you know which tasks are the most important ones, and which ones can wait until you finish other tasks.

Kissflow’s dashboard implements a color code to highlight the most demanding workflows.

Process Tracking

In this BPM software, you can track every item in the process to check where it is in the workflow and what tasks are remaining to complete. It is a valuable feature for monitoring backlog and instantly detecting what is required without wasting time on old tasks.

Benefits of Using Kissflow

Using Kissflow comes with a lot of advantages. One of the best advantages here is that it makes the whole process very easy for people who have very little knowledge of working with the software.

However, there are a lot of other advantages that you can experience from using its services, which include:

Massive library of templates and apps

Kissflow has over 400 templates available. You can use these templates to create automated workflows without investing significant time. When a template you need doesn’t exist, Kissflow also has drag-and-drop no-code tools, so you can create more sophisticated workflows without needing to understand coding.

When you use Kissflow templates, you can easily edit the templates to meet your specific needs. You might use a template to track your purchase requests, your sales pipeline, any incidents or bugs you need to track in your processes, or HR requests from your employees.

Kissflow also provides its own app store, where you can install and use pre-built apps to manage employee goals, team goals, and performance reviews. Some of these apps are free for you to use.

Strong integration capabilities

Kissflow integrates with popular tools like Gmail, Slack, Dropbox, HubSpot, and Mailchimp. It also integrates with Zapier, so if you are a Zapier subscriber, this could open up your Kissflow data for integrations with thousands of other apps.

You can also run automated integrations within Kissflow. Certain actions can trigger the integration automatically, saving your team time versus figuring out when to run the integration manually.

Should you have any problems with the integrations you are running, Kissflow maintains a report of all integrations that occurred and those that failed. You then can use this report to determine whether you need to run any integrations manually to counteract a failed integration.

Smart form automation

Creating dynamic forms that you can use in Kissflow is easy, thanks to its drag-and-drop interface. You can use Kissflow’s forms to collect information and store it so team members can access it quickly.

Kissflow dynamic forms contain sections you can use to collect related information about employees, customers, or potential hiring candidates. One section may collect contact information, for example. When building the sections in your Kissflow form, you can create descriptive names for the various sections to ensure the information the form requests is clear.

Within the sections, you’ll then add fields to your dynamic form. The fields collect and store the specific information that people enter. You can specify fields as basic, where you might collect standard information in a text box. Specify other fields as advanced for having Kissflow pull data in from other areas to help complete the field.

Versatile security settings

You can create specific rules for the security settings on your dataset within Kissflow. This is another area where Kissflow provides versatility in how you protect and share the data.

Kissflow’s default security setting allows all workflows to have automatic access to all data you are storing in Kissflow. However, you can ensure your data remains more secure by limiting which flows have access to it. You can also limit which fields can share data, allowing you to protect this type of data.

It does take a little more time to manually set up these security settings, but it can be an invaluable tool for protecting your data.

Customizable analytics and reporting

Kissflow has several options for collecting data and generating reports. This information gives you insights into various aspects of your company’s total workflows or the workflows for one of your teams.

Kissflow can use the analytics it collects to generate various reports about things like how team members use Kissflow’s apps. You also can generate reports that focus on information about the progress of individual projects.

Areas of Improvement

Here are some areas where Kissflow could use some improvement.

Not made for small teams

If you have an extremely small team and/or fewer than 20 employees, Kissflow will not be a price-effective option for you. The most basic pricing tier with Kissflow, called the Small Business tier, requires a minimum of 20 users and bills for that number no matter how many users you have.

The middle pricing tier, Corporate, requires a minimum of 100 users. Extremely small teams simply aren’t going to receive a good value with Kissflow because they will pay for licenses that they won’t use.

Additionally, Kissflow does not offer a free tier that you can use to try the software package. With other workflow management software, a limited free forever tier may serve the needs of a really small team well without the team needing to subscribe. (However, you can request a free trial for Kissflow before subscribing.)

Outdated documentation

Some of Kissflow’s how-to and help documents don’t appear to be completely current. For example, some of them still contain the previous company name of OrangeScape. That doesn’t necessarily mean the documentation is incorrect, but seeing fully up-to-date information would be more reassuring.

Kissflow is continually updating its documentation, so we’d eventually expect everything to be accurate. However, it is disappointing to run into help documents that clearly haven’t had an update performed on them recently.

Few communications tools

Unlike some other workflow management software tools, Kissflow’s communications options are lacking.

Kissflow does offer an announcement tool to give team members a heads-up regarding upcoming deadlines. You also can create discussion channels and invite certain team members to be part of the channel. However, these communications options simply aren’t as strong or feature-rich as some other workflow management software options. ProofHub, for example, allows live chat.

That being said, you can integrate Kissflow and Slack to enhance communication capabilities.
