Scheduling emails can be useful if you find yourself working outside of regular office hours or if you’re sending an email at the end of the day or work week that doesn’t require immediate attention. Gmail makes it easy to do this by allowing you to compose an email and specify the date and time you want it to be sent. So, if you need to make changes to a scheduled email or cancel it completely, you can do this with a few clicks. And this article covers just how to go about scheduling an email on Gmail and every piece of information you should know about the process.
Why Would You Want to Schedule an Email in Gmail?
Here are some scenarios in which scheduling an email in Gmail may be useful:
You send an email ahead of schedule.
There may be times when you have free time at work and want to send an email but don’t want to send it too soon. You can use this feature to write an email ahead of time and schedule it to be sent at a later time.
You’re sending an email across time zones.
There may also be times when you email colleagues in a different time zone. If you want to send them an email at a time that is convenient for them, you can schedule it for later in the day.
You want your email to be sent at a specific time.
You may want to send an email to your colleagues just before a meeting, for example, and use the schedule feature to send important materials 15 minutes before the meeting begins.
You’re sending emails after hours.
You may also find yourself working before or after traditional company working hours. If you want to write an email and send it at a specific time, you can schedule it for the following day during regular working hours.
How Do You Schedule an Email in Gmail?
Here are six steps to scheduling an email in Gmail:
#1. Launch Gmail and sign in
To begin, launch Gmail in your web browser and sign in with your username and password. You can do this by typing the Gmail URL into your search engine or by searching “Gmail” and clicking the appropriate link. You can access your inbox and all other relevant functions after logging into your Gmail account.
#2. Select “Compose an email” and type your message
Select the “Compose an email” button near the top left corner of your screen to open a blank email. The “Compose an email” button is a red pencil icon. It is critical to write your message and add a recipient before scheduling the email. Fill in the “To” field with your contacts and type the email in the white text box. You might also want to include a subject line to highlight the topic of your message.
#3. Click the drop-down arrow
After you’ve finished writing your email, click the drop-down arrow next to the “Send” button in the bottom left corner of the window. The arrow is a small white triangle, and the button is blue. To avoid sending the email too soon, try to select the arrow rather than the “Send” button.
#4. Select the “Schedule send” option
A small menu appears above the drop-down arrow when you click it. Select the “Schedule send” option, which has an arrow with a clock on it. You can choose a time and date to send your email.
#5. Select a time and date
Clicking “Schedule send” opens a new window with several scheduling options for your email. The first three options are to send your email the following morning at 8 a.m., the following afternoon at 1 p.m., or the following Monday at 8 a.m. Select the “Pick date & time” option at the bottom of the window to customize the time and date at which you send your email. This allows you to change the exact date and time by using a calendar or changing it manually in the text boxes.
#6. Click the “Schedule send” button to confirm
You can confirm your selection once you’ve chosen your preferred send time. If one of the preset times works for you, clicking on one of those buttons will schedule your email. If you change the time and date of your send, click the “Schedule send” button at the bottom of the window to confirm your selection. How to View and Modify Scheduled Emails

#1. Click the “Scheduled” tab on the toolbar,
You can view an email you’ve scheduled by clicking the “Scheduled” tab. This is in the toolbar menu on the left side of the screen, just below the “Mail” section. Choosing this displays any scheduled emails you currently have, up to a maximum of 100 scheduled emails.
#2. Select the email you want to change or edit
The scheduled emails are displayed in reverse chronological order, so the most recently scheduled email appears at the top of the page. Click on the email that you want to change or edit. Make sure you select the correct email so that you can correctly edit the send time.
#3. Select the “Cancel Send” option
To change the send time, select the “Cancel send” button. This option is in blue text on the right side of the screen. By selecting this option, the original send time is removed. From here, you can view and edit the message, as well as send it immediately or at a later time.
#4. Designate a new send time and date
You can set a new send time and date after you’ve reviewed and edited your email. Select a new send time by selecting the “Schedule send” button from the drop-down arrow. It’s critical to double-check that you chose the correct time and made the necessary changes.
How to Schedule an Email in Gmail on the Desktop
The following are steps to schedule an email in Gmail on a desktop device.
- After you’ve finished writing your email, click the blue down arrow next to the Send button. Do not click the “Send” button.
- Click the blue button with the downward arrow next to the Send button to schedule an email in Gmail on your desktop.
- Click Schedule Send to schedule an email in Gmail on the desktop.
- Choose a preset time or click To schedule manually, choose a date and time.
- Click a date to select it, and then click the time to specify when the email should be sent. Then select “Schedule send.”
Your email has now been scheduled. You can find the message in your “Scheduled” folder before it sends, where you can edit the contents, reschedule it for a different time, or cancel sending completely.
How to Schedule an Email in Gmail on a Mobile Device
The following are steps to schedule an email in Gmail on a mobile device.
- Tap the three-dot symbol next to the Send button in the Gmail mobile app for Android or iOS after you’ve finished writing your email.
- Select “Schedule Send.”
- Select one of the preset times to schedule your email, or select “Pick date & time” to select a specific time manually.
- Choose a date and time, then tap Schedule Send.
As with the desktop method, your email will be held in your “Scheduled” folder until it is sent automatically at the time you specify. Until then, you can edit, reschedule, cancel, or delete the message.
How to Schedule an email on Gmail With an iPhone or iPad
The steps below demonstrate how to schedule a message in Gmail for iOS:
- Open Gmail on your iPhone or iPad and compose a message by tapping the large plus button at the bottom of the screen.
- In the top-right corner of the screen, tap the three dots.
- From the options at the bottom of the screen, select Schedule Send.
- Tap Pick date & time to select your own date and time for the email to be sent, then tap Save in the top-right corner of the overlay.
- The email is now in your Scheduled box. To edit it, open the message and select Cancel Send, which will move it to your Drafts folder.
You can also use your browser to schedule emails in Gmail. To access the same options described above, simply click the arrow next to the Send button and select Schedule Send.
How to Cancel Scheduled Emails
To cancel your scheduled emails, simply follow these steps:
- On the toolbar, select the “Scheduled” tab.
- To cancel your scheduled emails, go to the toolbar and select the “Scheduled” tab, which is located on the left side of the page beneath the “Mail” group. To view your previously scheduled emails, click on it.
- Click the email you want to cancel. If you have multiple scheduled emails to remove, you can repeat this step as needed. Make sure you click the correct email address to avoid canceling the wrong message.
- Once you’ve selected the correct email, click the “Cancel send” button on the right side of the screen. When you click this button, the email draft appears. The email can then be sent at the current time by pressing the “Send” button, or it can be deleted entirely by clicking the trash can icon in the bottom right corner of the window. To close the draft, click the “X” in the upper right corner of the email.
